How the mileage reimbursement calculator works

This calculator compares your employer's mileage payment with the HMRC approved amount for your vehicle type. If your employer pays less than the approved amount, the difference is the shortfall that may qualify for mileage allowance relief.

For cars and vans, the first 10,000 business miles in the tax year use a higher rate. Miles above that threshold use the lower rate. Motorcycle and bicycle rates are flat, so they do not change after 10,000 miles.

HMRC mileage rates used in this calculator

The calculator uses the approved mileage rates for the 2026 to 2027 tax year. These rates are for business miles in your own vehicle, not normal commuting.

Cars and vans 55p per mile for the first 10,000 business miles, then 25p per mile after that.
Motorcycles 24p per business mile, with no 10,000-mile step-down.
Bicycles 20p per business mile, including eligible pedal-cycle business journeys.

What counts as business mileage?

Business mileage usually means work-related journeys that are not your ordinary commute. For example, driving from your normal workplace to a client meeting may qualify, while driving from home to your usual workplace normally does not.

An approved mileage allowance payment is the tax-free mileage amount your employer can pay up to the HMRC limit. If your employer pays less, you may be able to claim relief on the difference.

Mileage reimbursement examples

500 car miles at 45p HMRC amount is £275. Employer pays £225. Shortfall is £50, so 20% relief is about £10.
500 car miles after 9,800 miles 200 miles are at 55p and 300 miles are at 25p, making the approved amount £185.
100 bicycle miles At 20p per mile, the approved amount is £20. If your employer pays nothing, 20% relief is about £4.

How to read the tax relief estimate

The tax relief figure is not the full shortfall paid back to you. It estimates the tax saving on the shortfall. For example, if the shortfall is £100 and your tax rate is 20%, the tax relief estimate is £20.

If your employer pays more than the approved amount, the calculator shows a possible taxable excess. That does not automatically mean your payslip is wrong, but it is a sign to check the payment treatment.

FAQs

Can I claim mileage for commuting?

Ordinary travel between home and your usual workplace is not normally claimable business mileage. The calculator includes a warning toggle because this is one of the most common mistakes.

What if my employer pays 45p per mile?

For 2026/27, cars and vans use 55p per mile for the first 10,000 business miles. If your employer pays 45p, there may be a 10p-per-mile shortfall on miles in the first band.

Can I include passengers?

Passenger payments only apply to cars and vans. The calculator adds 5p per passenger business mile when the vehicle type is car or van.

Is this calculator tax advice?
